Conference Services

In 2011, the DOE Conference Order was canceled.  Since then, there have been many changes in the Conference/Events and Travel Policies.  Please note, you are no longer required to track your travel-to conferences through the Event Approval Database, the Berkeley Lab TRavel and EXpense System (TREX) is the only place where data related to traveling to an event will be stored.  Please see the LBNL Travel website for more information. 

Meetings, Conferences, or Special Events

All requests for on- or off-site Berkeley Lab events (meetings, conferences, or special events) with associated costs (such as food and beverage) need to be approved and processed through the Laboratory's Event Approval Database. Food provided while conducting Laboratory business will be supplied in a reasonable manner, minimizing costs and supporting the public perception of appropriateness wherever possible.

The Five Points of Compliance for Food & Beverage at LBNL Events– Regardless of Where the Funding Comes From  

  1.  Exceeds 2 hours.
  2. 10% external participants
  3. Event is not routine
  4. Event requires work to be conducted during food service
  5. An attendee list with affiliations and an agenda must be provided.
